Job Title: Purchasing Agent

Reports to: Austin Division Director of Purchasing

Department: Austin Purchasing



Summary: The Purchasing Agent will support and assist the internal operations and management of all day-to-day purchasing activities to help achieve company goals. While assisting the Purchasing Manager and Director of Purchasing in daily activities, the Purchasing Agent should become an expert on product specifications, material usage, industry standards, construction practices, building codes, and company processes, policies, and procedures. The Purchasing Agent should quickly become a primary contact for the field and vendors when they have issues they need help resolving. The Purchasing Agent will also support the Purchasing Coordinator with any starts related activities and be ready to take on any tasks if the Purchasing Coordinators workload exceeds their capacity.



Essential Duties and responsibilities include the following. Other duties may be assigned.

  • Work with Purchasing Manager to build and check budgets for all new projects and plans.
  • Perform monthly audits for accuracy of plans and job costs per community.
  • Assist in the review of bids to ensure the pricing submitted by vendors is complete and accurate.
  • Assemble bid comparisons, so the Purchasing Manager has a clear reporting of pricing data in each category.
  • Assist Purchasing Manager with bid entry and maintenance in Brix.
  • Manage and track all vendor changes by assisting the Purchasing Manager and Purchasing Coordinator in all necessary steps.
  • Collaborate with team members to develop specifications and offer input based on cost and supply chain availability.
  • Track and communicate lead times to ensure the Construction Team has all necessary info to outperform company cycle time goals.
  • Send out all model home specifications and bid requests.
  • Build all model home custom options and ensure all budgets and POs generate accurately at start.
  • Assist in reviewing and updating vendor contract documents to ensure completion. This includes, but is not limited to, signed contracts, scopes of work, construction specifications, unit pricing for materials and labor, and COI’s.
  • Partner with the construction team to resolve trade partner related challenges, issues, and concerns.
  • Maintain clear internal communication with all Management, Construction, Sales, and Estimating team members.
  • Build exceptional relationships and foster frequent, efficient, and open communication with all vendors.
  • Support in the review of plans, PO’s, site costs, vendors assignments, and option pricing of start packages to insure accuracy.
  • Track and monitor change orders to insure they happen in a timely manner and get communicated to the field and vendors.
  • Review EPO’s weekly and assist in identifying and resolving issues with a full commitment to the departments goal of constant improvement in this area.
  • Track, submit, and reconcile rebate data for all builder agreements.


Education and Qualifications:

  • Bachelor’s Degree from a four-year college or university preferred.
  • Minimum 2 years of production homebuilding experience.
  • Experience using ERP systems is required and Hyphen Brix specifically is highly preferred.
  • Demonstrated ability to work across teams, including estimating, construction, sales, and accounting to solve critical business challenges.
  • Strong relationships with the vendor community in Austin.
  • Strong background in MS Office and able to efficiently organize data using program shortcuts and table creation.
  • Additional skills and aptitudes needed are an analytical mindset, efficient and accurate problem-solving skills, strong organization, ability to present complicated information in a clear way, and exceptional interpersonal and communication skills.
  • Must have a very high level of attention to detail and commitment to accuracy.
  • Comfortable and able to excel in an environment that requires multitasking.
  • Bilingual preferred.



This job will be located in Austin, TX, and require minimal travel that will mainly be to communities in and around Austin.
